A regional director of operations at an assisted living group has two things open on a Thursday afternoon. One is a recording of an Order.co demo the CFO forwarded. The other is last month's dietary and housekeeping invoices by community, pulled from the accounting system to see which buildings ran over.
Order.co and Adelpo both sell purchasing software that a multi-community assisted living operator can run. Order.co's own pages describe it as purpose-built for multi-location assisted living businesses, while Adelpo is built for long-term care operators and can tie each community's budget to its daily census.
What Order.co says it is built for
Order.co says it is built for multi-location assisted living businesses. Order.co's home page says the product keeps "purchasing and payments fast, compliant, and completely visible." Its blog post "Best Procurement Software for Assisted Living Facilities 2026" says Order.co "was purpose-built for multi-location assisted living businesses with complex supply chains and high-stakes compliance requirements." The same post says a facility can "Deploy in weeks with guided onboarding" and lists pushing invoice data to "NetSuite, QuickBooks, Sage Intacct, or Workday."
On the two Order.co pages we read we did not find census or per-patient-day budgeting, a connection to PointClickCare, MatrixCare, or another EHR, or skilled nursing named as a segment. Ask an Order.co rep about each.
What Adelpo is built for
Adelpo is procure-to-pay software built for multi-facility long-term care operators. It covers purchasing, per-patient-day budgets tied to census, invoice automation, and payments. It is independent, sells no products, is not owned by a distributor, and its founder owns and operates nursing homes.
Many assisted living operators run on Adelpo. A per-patient-day budget is a spending figure per resident per day. The month's dollar total is calculated from that figure and the census. Census can be set up to count occupied units instead of residents, counted the way each operator chooses, and the "per patient day" label can be renamed. A budget can also be a flat dollar amount. How the budget follows the census is covered in how a per patient day budget moves when the census moves, and the rest of the cycle in how procurement works for an assisted living operator.
Adelpo vs Order.co side by side
| Point | Order.co, from its own pages | Adelpo |
|---|---|---|
| Who it says it is built for | Multi-location assisted living businesses (assisted living blog post) | Multi-facility long-term care operators, including many assisted living operators |
| Budgets | Not described on the two pages we read | Per-patient-day budgets that move with the daily census, or flat dollar budgets |
| Census connection | Not described on the two pages we read | PointClickCare and MatrixCare by API, other EHRs by daily file export, or updated by hand |
| Accounting systems | NetSuite, QuickBooks, Sage Intacct, or Workday (blog post) | Connects to Sage Intacct and QuickBooks, with NetSuite and other systems by automatic batch import of approved invoices |
| Deployment | "Deploy in weeks with guided onboarding" (blog post) | 3 to 4 weeks per facility, 8 to 16 weeks for a portfolio over 20 buildings |
Questions to ask both vendors
- Will you sign a BAA? Adelpo is HIPAA-compliant and signs one. The Order.co pages we read do not say, and the question has its own post, [does procurement software need a BAA under HIPAA](/blog/procurement-software-hipaa-baa).
- When a move-in posts today, does today's dietary budget change today or at month end? In Adelpo, census syncs daily and that day's per-patient-day budget changes with it.
- How are invoices with no purchase order handled? Utilities and service contracts arrive that way, and in Adelpo they are reviewed and approved from the invoice itself and can be paid without a PO.
How the census and budget are set up in Adelpo
In Adelpo, each community's census comes in daily, by API from PointClickCare or MatrixCare or by file export from another EHR, and it can be updated by hand where no export exists. The operator enters its per-patient-day budget figures, and the person building a cart sees the budget impact in the cart's Budgets tab. Budgets are live from go-live and do not wait for the roughly 45 days it takes to collect a new customer's full spend data. Adelpo lists the settings it serves on its industries page.
Questions assisted living buyers ask
Is Order.co built for assisted living?
Order.co's blog post titled "Best Procurement Software for Assisted Living Facilities 2026" says Order.co "was purpose-built for multi-location assisted living businesses." The pages we read do not mention census-based budgets or an EHR connection, so ask how a budget follows occupancy.
Does Adelpo work for assisted living or only skilled nursing?
Adelpo is built for multi-facility long-term care operators and has many assisted living operators as customers. Census can be set up to count occupied units instead of residents, counted the way each operator chooses, and the "per patient day" label can be renamed. The 3 to 4 weeks per facility deployment estimate applies to assisted living as it does to skilled nursing.
What accounting systems do Order.co and Adelpo connect to?
Order.co's assisted living blog post lists NetSuite, QuickBooks, Sage Intacct, or Workday. Adelpo connects to Sage Intacct and QuickBooks, and NetSuite and other accounting systems receive automatic batches of approved invoices on the customer's schedule. Line items go over coded to the GL, and the invoice PDF can be attached.
Does Adelpo's budget change the day a resident moves in?
A move-in that posts today changes that day's per-patient-day budget, because census syncs into Adelpo daily and the budgets reflect it. The budget screen shows the monthly dollar total calculated from the per-patient-day figure and the census, with the per-day amount beside it.
