- Facility-level comparability. With every building's census pulled the same way from the same source, cross-facility PPD comparisons stop being apples-to-oranges. This is where multi-facility operators find their outliers.
- Budget visibility at the point of order. The person placing an order sees where their department stands against its census-adjusted PPD target before the order goes in — the mechanic that prevents overspend rather than reporting it.
- No parallel data entry. If your team maintains the same information in two systems, the integration has failed regardless of what the brochure said.
Questions to Ask Any Vendor

- How does census actually arrive — and how often? Real-time or scheduled sync changes what your PPD numbers can be trusted for. "Nightly" is workable; "you can upload a CSV" is not an integration.
- What happens when the connection breaks? Ask how you would know, and what stale data looks like in the meantime. Silent failure is worse than no integration.
- Who builds and maintains it? If the answer involves your IT resources maintaining middleware, price that in. It should be the vendor's job.
- What does it cost? Integration fees, per-connection charges, implementation add-ons. Flat, included, or à la carte — get it in writing.
- What else does it connect to? Your EHR is one side; your accounting system is the other. A platform that syncs census but leaves your team re-keying into the GL solved half the problem.
